Is a PC Annual Maintenance Contract Worth It for Your Office?

It's month-end, your accountant can't print the GST report, and the one "computer person" you rely on isn't picking up his phone. How much would an hour of that downtime cost your business?
An Annual Maintenance Contract, or AMC, is meant to prevent that scenario. It's also one of the services that is easy to buy badly. This article breaks down the real cost of ad-hoc support versus a contract, and what to look for before you sign anything.
Pay-per-call versus an AMC: a cost comparison
Say you have five PCs in your office. With pay-per-call support, each problem is a separate bill and a separate wait. Our own one-off services range from ₹699 for a printer setup to ₹1,800 for a laptop format. Two or three incidents in a year across five machines can add up to more than a yearly contract.
An AMC flips the model. You pay once, and routine care plus remote help are covered. It doesn't make hardware free, and it doesn't cover parts, but it removes the "who do I call, and what will it cost" question.
| Pay per call | AMC | |
|---|---|---|
| Cost pattern | Variable, unpredictable | Fixed yearly amount |
| Preventive care | Usually none | Scheduled tune-ups |
| Response | Depends on availability | Defined target time |
| Best for | One or two PCs, rare issues | Regular daily office use |
What a good AMC should include
- Remote support. Most software problems can be solved remotely. Check whether it's unlimited or capped.
- Scheduled maintenance. Disk cleanup, update checks and startup review on a set calendar.
- Security. Antivirus coverage, and someone checking that it's active.
- A stated response time. "We'll get back soon" isn't a commitment.
- A clear exclusion list. Hardware parts, new software licences and on-site visits are typically separate.
Questions to ask any AMC provider
- How many PCs does the price cover?
- What counts as "unlimited" support?
- Does the response time mean the first reply or the actual fix?
- What happens if a hardware component fails?
- Can I see what was done after each visit?
Honest providers answer these without hesitation. Vague answers are a red flag.
Is an AMC worth it for you?
It makes sense if your staff use computers daily, you have two or more machines, and downtime costs you money. It's especially useful for accounting offices and small agencies that can't stop work.
It's probably not worth it if you have a single home laptop you use occasionally, or if you already have in-house IT staff covering the same ground. In those cases, buying one-off services as needed is cheaper.
What a quarterly tune-up usually involves
Four visits a year may sound light, but regular small jobs add up. A typical tune-up covers checking disk space and health, clearing temporary files, reviewing what starts with Windows, confirming that updates have installed, checking that antivirus is active and up to date, and a quick look at backups. None of it is dramatic. It's the sort of work that gets postponed when you're busy, which is precisely why people put it on a calendar.
Making sense of "priority response in 2 hours"
A response time is a promise about how fast someone starts working on your issue, not about how fast every problem is resolved. A software glitch may be fixed in minutes, while a failing hard disk needs a replacement part and time. When you compare contracts, ask what the clock measures, and whether it covers working hours only or also holidays and weekends.
A simple way to decide
Count the PCs, estimate how many hours of work each protects, and think about what an idle morning costs you. If the answer is a few thousand rupees, a ₹6,000 yearly contract can pay for itself in one bad week. If the answer is nothing, buy support only when you need it.
One last thing worth doing before you buy: write down every machine you want covered, including the old PC at the billing counter. Contracts often go wrong because an unlisted machine turns out not to be included. A short list agreed in writing avoids that argument later.
How we handle this at DegitalService
Our Annual PC Maintenance (AMC) is priced at ₹6,000 for 12 months. It includes unlimited remote support, a quarterly tune-up, antivirus, and priority response within 2 hours. Setup starts within about a day. We don't offer separate tiers for it.
What's not included in the listing, such as on-site visits or replacement parts, should be discussed before you commit. Contact us with how many PCs you have and the kind of work they do, and we'll tell you whether this fits. Or order the AMC directly.
Getting value from your contract
Report small problems early. Don't wait for a PC to fail. Keep a list of all machines and their users. And ask for a short note after each tune-up, so you can see the contract at work.
Frequently asked questions
What does an AMC for PCs cover?
It varies by provider. Ours includes unlimited remote support, a quarterly tune-up, antivirus and priority response within 2 hours.
Does an AMC cover hardware repairs?
Typically not the cost of parts. Check the exclusion list in any contract before signing.
Is an AMC cheaper than paying per call?
It can be if you have several PCs and expect a few issues a year. For a single occasional-use laptop, probably not.
How long does an AMC last?
Ours runs for 12 months. After that you decide whether to renew.
